Data Protection Policy

Systems are in place to ensure that the Data protection Act of 1998 is adhered to as follows:

Member details:

1. Minimum details only and reviewed and updated annually
2. Records only sufficient for administrative functioning – renewed and reviewed annually and deleted appropriately
3. Personnel/finance – access by password only – outdated information deleted regularly

Manual Files

1. All secured in locked cabinets
2. Sufficient only for records of membership
3. Outdated files shredded

It is Strawberry Sofa’s policy to educate and inform staff of the dangers of inappropriate and illegal use of personal data which staff may have access to.  In accordance with the Data Protection Act only relevant, up to date information is kept.  Such information has a time limit of 3 years

An employee’s or member’s records can only be used for a specified purpose and any disclosure would need to be agreed with them.

Strawberry Sofa Ltd held data denotes:

1. Health records
2. Information for filing systems relating to individuals

Strawberry Sofa Ltd undertakes to ensure that all information is secured, used only for the intended purpose and that the rights of individuals as to equal opportunities are transparent and fully protected. Information should only be processed under the followed circumstances:

1. The equipment being used is safe and has firewall etc
2. That the information processed is only to be used for registration processes
3. That the information is accurate and processed in a lawful manner
4. That the information is only kept for the prescribed time
